When to Ask: Strike While the Job’s Still Warm

Timing is everything. The best moment to ask for a review is right after the job is finished — while the customer is standing there looking at the result and still feeling good about it.

Don’t wait a week and send a generic email blast. By then the moment’s gone, and you’re just another notification they’ll ignore. Ask on the spot, or within a few hours while it’s fresh.

How to Ask: In Person First, Then Follow Up by SMS

The highest-converting approach is simple:

  1. Ask in person, out loud. Something like: “Glad that’s sorted for you. If you’ve got 30 seconds, a Google review would really help the business — I’ll send you the link now.”
  2. Send the link immediately by SMS, while you’re still standing there. Don’t rely on them remembering to search for you later — make it a one-tap job.

Asking face-to-face first matters. It’s harder to say no to a real person than to ignore a text from an unknown number, and the SMS becomes a fulfilment of something they already agreed to, not a cold ask.

You don’t want to hand someone a long, ugly URL. Here’s how to get a clean, short link from your Google Business Profile:

  1. Log into your Google Business Profile dashboard.

  3. Google generates a direct review link — copy it.

Swap in details from the actual job if you want it to feel more personal — “thanks for having us out to sort the hot water system” beats a generic line every time.

How to Respond to Reviews

Responding to reviews — good and bad — shows Google (and future customers) that you’re active and engaged.

For positive reviews: Keep it short and genuine. Thank them by name, mention the job if you can. “Thanks Sarah, glad we could get that leak sorted quickly. Appreciate you taking the time to leave a review.”

For negative reviews: Stay calm, professional, and factual. Acknowledge the issue, avoid getting defensive in public, and offer to take it offline. “Sorry to hear this, [Name]. That’s not the standard we aim for — please give us a call on [number] so we can sort it out.”

What to Do About a Bad Review

A single bad review isn’t the end of the world — it can even make your profile look more credible, since an all-5-star profile with zero criticism can look fake to savvy customers.

If a review is genuinely unfair, factually wrong, or breaches Google’s policies (spam, fake accounts, unrelated content), you can flag it for removal through your Business Profile. Otherwise, the best move is usually a calm, professional public response — that response is often what future customers actually read, more than the review itself.

How Many Reviews Do You Actually Need?

You don’t need hundreds to see a difference. Even 5 genuine reviews with a solid rating can noticeably lift trust and click-through compared to zero or one. From there, momentum builds — more reviews make it easier to get more reviews, because customers see an active, trusted business rather than a blank profile.
